Currently Student Affairs and its departments manage a variety of community, corporate, state and federally funded grants with the expectation of growth. The Assistant Vice Chancellor (AVC) for Campus Life is responsible for the general oversight of grants. In the role of Grant Officer, the incumbent coordinates all aspect of grant opportunities for the organization, working closely with the UCLA Office of Contracts and Grants Administration, External Fund Management and External Audit to ensure compliance with grant agencies and UCLA policies and procedures. This position is also responsible for a variety of duties related to pre and post award administration of local, corporate, state and federal sponsored projects. The incumbent also collaborates with Student Affairs Development and Corporate Partnerships to develop strategic funding opportunities and resources that include fundraising, sponsorships and grants.
Under the direction of the Assistant Vice Chancellor, Campus Life, the Grant Officer functions as the central Student Affairs resource to identify, define and develop grant opportunities across a broad spectrum of student programming needs (e.g. student professional/career development, student initiated cultural, retention and outreach programs, health and wellness, support for underrepresented students, and so forth) to support existing and planned departmental activities. In support of Student Affairs initiatives, the individual will research and identify government and private funding prospects for Student Affairs departments; foster relationships with federal, state and private funding agencies; participate in the development, writing and submission of grant proposals including the review of sponsor guidelines; and make recommendations to ensure the funding requirements are met in the grant proposal. Collaborating with Student Affairs departments, the incumbent is responsible for designing and developing program models for new, enhanced and expanded activity worthy of grant opportunity. The position will also consult with the Student Affairs Information and Research Office to determine effective analytical strategies that can shape the design of existing and new grant opportunities.
It is also expected that the Grant Officer will liaison with various department fiscal and administrative staff and UCLA Extramural Fund Management to ensure the proper grant administration. The administration will include the initial award approval to the closing of each grant account in accordance to Grant requirements and University policies and procedures. Additional duties include advising departmental administrators on the coordination and submission of required fiscal and performance reports to include preparing journal entries, reviewing cost transfers, preparing quarterly general ledger reconciliation and scheduling regular meetings with appropriate staff.
