Background

The organization was started in 2002 by Susan Esposito Lombardo following the death of her father on 9/11/01. In 2008 ACH began providing direct services including group support as well as individual therapy, consultation, and resources for grief. The goal of ACH is to meet bereaved children and families wherever they are in their grief journey and fulfill their needs in a caring and knowledgeable environment. We help grieving children and families cope, connect, and continue to remember.

Job Summary

ACH is recruiting for an individual to who will have a significant role in managing and helping sustain and grow a thriving non-profit organization. The individual will serve as Executive Assistant and Development Coordinator, managing varied and related functions in each area. This is an excellent opportunity for the right individual to have a direct impact on the organization and learn necessary and marketable skills essential to non profit management.

Responsibilities

Administrative Assistance

  • Assist and support Executive Director with official correspondence, scheduling, program, donor relations, and board of directors related tasks
  • Assist with preparation of board meeting materials and reports
  • Support to board of directors as directed
  • General assistance with board and donor meeting planning and arrangements
  • Manage and maintain files according to document retention policies
  • Maintain up to date documents and policies e.g. tax, organizational, board, insurance, human resources, fundraising.
  • General office management of day to day operations, ordering supplies, maintenance of physical environment
  • Assist with book keeping, payroll, financial management, audit, and outside vendor and consultant related reports and activities
  • Trouble shoot and manage internal office policies and procedures
  • Manage day to day finances and maintain expense and reimbursement budgets
  • Manage technical systems and maintenance of office equipment
  • Assist with web site updates and maintenance

Development/Donor Assistance

  • Track progress of donor related information
  • Support in conducting donor and grant research (individual, foundation, corporate, government)
  • Assist with writing and submitting appropriate foundation proposals and reports
  • Tracking, entering, and maintaining donor and grant databases
  • Assist with and manage donor related print, on line, and social media materials and communications
  • Manage tracking and completing donor related correspondence
  • Assist in preparation of reports on development activities
  • Assist in preparation of grant proposals and reports
  • Establish and maintain database for tracking income sources e.g. grants, corporations, individual donors
  • Assist with design and production of online and print development related materials
  • Assist with all aspects of fundraising related annual and special events
  • Assist with management of development related vendor needs and activities.

Qualifications

  • Bachelor's degree minimum
  • 2-5 years prior administrative/office management, executive assistant, fundraising, grant writing and management, and special events experience in the non profit sector
  • Computer skills (e.g. expertise with excel, Microsoft word, donor and financial database)
  • Excellent organizational skills
  • Attentive to details and deadlines
  • Can take initiative and work independently
  • Identifies appropriate priorities and executes tasks in a timely manner
  • Ability to manage multiple projects simultaneously
  • Excellent written and verbal skills
  • Excellent interpersonal skills and sensitivity when interacting with clients who have experienced difficult life circumstances, donors, board members
  • Experience assisting with development, fundraising database management, marketing mailing, budget tracking, grant writing
  • Energetic self-starter, flexible, easy going, team player
  • Social media marketing background a plus
  • Bi-lingual a plus
  • Experience using Etapestry a plus
