Job Summary

Support the Development Department in all fundraising and development campaigns. Ensure that all development financials are up to date and that gifts are processed appropriately and in an accurate and timely manner.

Responsibilities

1.   Manage and maintain Development Database and track correspondence

  • Manage data entry and coding
  • Produce regular fundraising reports and queries
  • Maintain an accurate record of donor lists and giving levels
  • Maintain an accurate record of pledges, gifts letters of intent
  • Manage Matching Gift processing and paperwork
  • Remain up to date on new Database capabilities
  • Maintain paper Development files

2.   Responsible for financial reporting and record keeping for Development Department

  • Partner with Accounting and Operations to streamline efficiency
  • Reconcile Development and Accounting Finances on a monthly basis
  • Reconcile Development and Accounting Finances—by campaign yearly
  • Assist in developing annual budget
  • Code donations and pass on to accounting for processing
  • Process all gifts through the database
  • Maintain accurate records regarding financial standing of income and expense

3.   Create and process all letter correspondence, copying and filing in a timely manner

  • Generate all individual and corporate donor Acknowledgement letters
  • Generate all Special Events Acknowledgement Letters
  • Generate visit Acknowledgement letters
  • Generate Team Sponsorship letters
  • Generate Tax letters

5. Work in partnership with entire Development Team to accomplish department goals

  • Assist in all Special Event Planning, as required
  • Help maintain the Brand
  • Occasionally edit and read grant proposals
  • Proofread and edit all mailings
  • Assist in coordinating and hosting site visits
  • Represent organization publicly

6.   Assist in the creation of the annual Development Plan, focusing on goal setting and record    keeping for each campaign

  • Work in conjunction with other CEO/Staff members to devise accurate and organized approach to fundraising and development
  • Manage and maintain accurate budget, records and files for each campaign

7. Other

  • Create strong relationships between Development, Programs and Operations
  • Visit Farmer’s Markets
  • Participate in staff meetings and retreats
  • Document information obtained in outside training and other events
  • Participate in and attends fundraising and other program events
  • Other duties as required

Qualifications

  • Minimum of two to three years of Development experience required
  • Must have excellent computer skills (Microsoft Office, Excel, Outlook, Internet)
  • Background or understanding of accounting procedures a plus
  • Experience with fundraising database management (salesforce preferred)
  • Dependability and good organizational skills
  • Motivation and the ability to take initiative
  • Excellent attention to detail
  • Be a flexible, skilled problem-solver and self-starter
  • Sense of Humor
