Associate Director of Institutional Giving

Job Summary

Reporting to the Director of Institutional Giving, primary responsibility is to lead the grant writing team in creating compelling, outcomes-driven, and client-ready letters of inquiry, proposals, reports, and other correspondence for a diverse audience of foundation and corporate donors (both current and prospective). Additional responsibilities include overseeing the full grant calendar and creating systems to improve department efficiency. The ideal candidate enjoys managing and cultivating a team. 

Responsibilities

Team Management & Cross-Functional Collaboration (40%)

  • Manage three-person grant writing team in prospect research, proposal writing, and grant reporting. Edit drafts and provide in-depth coaching to junior team members. 
  • Guide staff in proactively identifying cultivation opportunities among funders in respective portfolios
  • Arrange and conduct site visits and assure timely, accurate and strategic follow-up with funders and prospective supporters
  • Oversee team’s use of Raiser’s Edge database to manage relationships, track grants received, reports due, pending proposals, and prospects
  • Ensure close collaboration between Institutional Giving and other internal departments to create informed proposals responsive to programmatic needs, direction and capacity
  • Collaborate with development operations, divisional budget directors, and fiscal staff to ensure proper classification and designation of grants and ensure accurate reporting on individual project budgets

Portfolio Management (50%)

  • Develop, write, and assemble proposals and reports to corporations and foundations
  • Promote ongoing stewardship with funders through customized communication and the distribution of publications including annual reports, newsletters and event invitations
  • Work closely with program staff to generate narrative content and project budgets
  • Monitor compliance with grant deliverables and outcomes
  • Conduct research on social service related issues and integrate findings, including statistics into work product
  • Maintain corporate and foundation donor files and Raiser’s Edge records
  • As needed, travel to Children’s Aid sites across NYC (Harlem, South Bronx, Washington Heights, and northern Staten Island) to meet with staff and gather information for proposal development
  • Coordinate donor site visits
  • Attend workshops, conferences, and events, as requested, to keep current in the field of child welfare and social services as it pertains to Children’s Aid programs

Systems Management (10%)

  • Manage pipeline and calendar of both prospective and active funders
  • Collaborate with executive staff to project annual operating budget 
  • Act as thought partner to Director of Institutional Giving in implementing new systems and tools to improve department efficiency and effectiveness

Qualifications

  • Bachelor’s degree required
  • Grant writing experience required
  • Supervision experience required
  • Experience writing for sophisticated, data-driven funder audiences preferred
  • Excellent written and verbal communication skills
  • Strong interpersonal and organizational skills
  • Experience in developing budgets preferred
  • Detail and deadline oriented, with an ability to work well under pressure
  • Advanced proficiency in Microsoft Office applications, including Word, Excel, and Outlook
  • Previous experience with CRM databases, such as Raiser’s Edge preferred
