Founded in 1904 and located on New York City's Museum Mile, the Jewish Museum is dedicated to the enjoyment, understanding, and preservation of the artistic and cultural heritage of the Jewish people. The Museum maintains a unique collection of nearly 30,000 works of art, ceremonial objects, and media reflecting the global Jewish experience over more than 4,000 years. The Museum applies a contemporary lens to its exhibitions, which range from ancient to contemporary art.

Job Summary

The Special Events Manager has managerial and administrative oversight of a large variety of events produced by the Special Events Department as well as other departments across the Museum. Events include but are not limited to the annual Purim Ball Gala, Art and Design Tour, New York Jewish Film Festival Opening Night, exhibition previews, and donor receptions. This position requires strong organizational, communication and problem-solving skills.

Responsibilities

  • Prepare detailed event planning and production timelines and maintain schedules
  • Traffic event related collateral materials, including print and digital invitations, programs, and journals; work with in-house graphics department on design
  • Manage day-of event logistics from set-up to breakdown, including registration, staffing, catering, audio-visual, décor, seating, and live program
  • Manage relations with external service providers, such as caterers, designers, producers, printers, mail house, etc.
  • Negotiate contracts, create and monitor detailed budgets, process invoices
  • Oversee department database protocol and mailing list development
  • Coordinate invitation mailings, maintain guest lists
  • Work closely with Purim Ball event producers throughout planning process and execution
  • Draft solicitation letters, acknowledgements, invitation, and program copy
  • Help facilitate outreach for corporate sponsorship and in-kind donations
  • Research and secure event dates and venues
  • Provide back-up assistance and coverage for rental events and site visits as requested

Qualifications

  • 3-4 years experience in special events at a major cultural institution
  • Highly organized and detail-oriented with superior proofreading skills
  • Ability to multitask and prioritize in a high-pressure environment
  • Excellent written and verbal communication skills
  • Strong interpersonal skills and professional demeanor
  • Tact and diplomacy essential
  • Solid follow-through skills from project initiation to completion
  • Flexibility for significant amounts of evening hours during peak times; can also require some weekend hours
  • Bachelor’s degree preferred
  • Excellent judgment and strong decision‑making abilities
  • Strong computer skills—proficiency with Word, Excel, and PowerPoint is essential; knowledge of Salesforce and ticketing software a plus
  • Solid negotiation skills

Compensation

Commiserate with experience.
